1. Do you offer proactive monitoring or reactive support?
This is the most important distinction in managed IT. Reactive support means a technician responds after something goes wrong. Proactive monitoring means your provider detects and resolves issues, often before you notice them.
Ask the provider whether they use a professional Remote Monitoring and Management (RMM) platform. MSPs using established RMM platforms such as N-able can monitor your servers, workstations, and network devices around the clock, generate automated alerts, and push patches or fixes remotely. If a provider cannot clearly explain their monitoring toolset, treat that as a warning sign.
2. What are your guaranteed response times?
A Service Level Agreement (SLA) should define, in writing, how quickly the provider will acknowledge a ticket and how quickly they will resolve issues of different severity levels. Ask for a sample SLA. A critical system outage and a minor software query should not be treated the same way, and the SLA should reflect that tiering clearly.
3. What are your support hours?
Standard business hours cover Monday to Friday, nine to five. If your operation runs outside those windows (retail, hospitality, logistics) you need a provider whose support hours match. Confirm whether out-of-hours support costs extra and what the escalation path looks like on evenings and weekends.
4. How do you handle patch management?
Unpatched operating systems and applications are among the most common vectors for a security incident. Ask whether the provider manages patching automatically, how frequently patches are deployed, and how they handle systems that cannot tolerate unexpected restarts. A mature provider will have a documented patching policy, not a best-effort approach.

5. What security services are included in the base contract?
Many providers bundle antivirus and call it security. That is not sufficient. Ask specifically about endpoint detection and response (EDR), email filtering, DNS protection, and firewall management. If your business handles sensitive data (financial, medical, legal) ask whether the provider has experience with relevant compliance frameworks.
6. How do you handle a suspected security incident?
A provider who hesitates or gives a vague answer here is telling you something important. They should be able to describe a clear incident response process: detection, containment, notification, remediation, and post-incident review. Ask who your point of contact would be during a live incident and what their communication cadence looks like.
7. Do you carry professional indemnity and cyber liability insurance?
If a provider’s error leads to data loss or a prolonged outage, you want to know they are insured. This is a basic due-diligence question that legitimate providers will answer without hesitation.

8. What does your onboarding process look like?
A well-run MSP will document your environment thoroughly before taking over management: an asset audit, network diagram, and credentials register at minimum. If the answer is vague, the provider likely operates without adequate documentation, which creates problems when something goes wrong and the engineer who knew your setup is unavailable.
9. Can you provide references from businesses similar to ours?
Sector experience matters. Managing IT for a law firm is different from managing it for a manufacturing operation. Ask for references from clients of comparable size and sector, and follow up on them. Reputable providers will not hesitate to supply these.
10. What are the exit terms in the contract?
Every managed services contract ends eventually, either because the relationship works well and the business grows beyond the current tier, or because it does not. Understand the notice period required to terminate, whether there are penalties, and how data and credentials are handed over. A provider who makes exit terms deliberately opaque is one you should approach with caution.
